Ferret Rescue Society of Ottawa and Area
2004 Year End Report

2004 was a year of growth and consolidation for the Ferret Rescue Society of Ottawa and Area.  As our needs changed, we recognized the need for a more active board and as such, added Bryan as Treasurer, Nykki as Vice President and Lynn as Secretary.  Marion remained as President and Jasmine remained as Vice President.  The three main areas of focus of the year were 1) To manage our incoming/outgoing ferrets; 2) To raise enough funds to pay our bills; and 3) to begin preparation for submitting our application for Federal charitable status.  Progress was made in all three areas.

1)   In 2004, we took in 44 new ferrets and adopted out 36.  Six ferrets passed away this year while in our care.  At the end of the year we were left with 23 adoptable ferrets and 7 permanent residents.

2)   Our total expenditures for the year were $6,500 and the total amount of funds raised through donations, events, product sales and adoption fees was $9,600.  As of December 31, 2004, our outstanding vet bill was approximately $4,500 and we had $3,400 in our bank account.  As a measure to reduce our monthly phone bill, we changed our phone number in December from a regular business line located at Francine’s to a Cel phone.

3)   In preparation for our Federal charitable status application, the board completed an extensive review of our proposed Constitution, Code of Ethics and Board Job Descriptions.  As a result, these documents are now ready for a final review and will be presented for approval at our first Annual General Meeting in April 2005.

In 2004, the Ferret Rescue Society held a number of fun fundraising events to help pay our bills.  A special Thank You goes out to all our volunteers who helped make these events our most successful ever.

Garage Sales

Three Garage Sales were held during the year – one during the annual Blackburn Hamlet sale and two at a location near Montreal Road and Bathgate.  The Blackburn sale raised a total of $175 despite rain in the morning.  The other two sales raised $260 and $140.  Holding a sale (or two) prior to our frolics worked out well as it ensured we had ample cash on hand to pay for frolic expenses.

Both Frolics enjoyed warm sunny days, excellent attendance and wonderful media coverage.  A total of $1545 was raised at our Spring Frolic and $1425 at our Fall Frolic Holding the events at the end of May and in Mid September worked out very well.  We did have some challenges with our Fall Frolic as Jenny, our main event organizer, moved to another city during the year.  The board was able to share the duties and completed a successful Fall Frolic.  To ensure continuity for future events, the board is now working on a Frolic Planning Guide, which will make it easier whenever our organizing committee changes.

Product sales at the frolics went very well, and were a major contributor to the total amount raised.  The best selling products were the blankets, sleep sacks and hammocks that were donated by Sue Ann. We will need to ensure all future frolics have a good selection of these items for sale.  One disappointing product was the T-shirts that were printed for the Fall Frolic. Given our lack of success at selling the three different designs we now have, we will need to look at other products such as bowls, coffee mugs and bumper stickers.

A new event this year was a fund raising concert held in November at Mavericks.  This event was organized and promoted by Justin and raised a total of $750 for the FRSO.  It was a very timely event as we typically run low on cash early in the New Year.

BBQ and Christmas Party

Two Members Only events were held to thank our dedicated volunteers and supporters.  The BBQ was held at Francine’s farm and was a nice relaxing day (despite some intermittent showers and a small BBQ fire).  The Christmas Party was held at Cathy’s and was an excellent opportunity to relax and socialize during the holiday season.  Our hope is to repeat these events in 2005.

Ottawa SuperEx 2004

Once again, we attended the Ottawa SuperEx.  This year, we only stayed for one day as we found that attending every day was too much work for our volunteers and too much stress for their ferrets. Given the opportunity, we will likely attend for one day in 2005.

On-Line Activities

Our website underwent (and continues to undergo) a number of significant changes throughout the year.  Over 90% of the website content is now dynamically generated by a series of databases and all Board members have access to a back end database management system.  This will allow the board and designated delegates to update the website content without needing to know how to code HTML, reducing the workload of the Webmaster.

Other website changes included an updated “look” and the introduction of a new Forums system which will also be useful for quickly posting information and answering common questions.

As part of the updates to the Website, the FRSO CafeShops store was integrated into the main site, providing a much cleaner and easier to navigate store.  These changes resulted in the store generating a total of $190 USD in profits in 2004.

2005 Outlook

The demands on the FRSO will likely continue to grow in 2005.  This will require us to be prepared to meet the demand and manage our expenses. To help meet these challenges, the FRSO goals for 2005 include:

·   Complete and submit the paperwork for our Federal Charitable Status in April/May 2005.
·   Continuous improvement of the frolics, including the addition of new products, new events and even better corporate sponsorship.
·   Holding another fundraising concert in November (if possible)
·   Holding additional Garage Sales to clear out the inventory currently in storage.
·   Better communication with our members and more Member events to encourage their participation and involvement.
·   Identification of new Foster Homes to accommodate the ferrets as they arrive.
·   Continue the evolution of the Website with the addition of an Electronic Postcard system, new designs in the CafeShops store, improved integration and utilization of the forums, and completion of the French portion of the site to match the English content.
Thank You

To the past and present board members for all their hard work:
Marion, Jasmine, Cathy, Louise, Nykki, Bryan and Lynn

To all our Foster Families, Volunteers and Corporate Sponsors who make our fundraising events so successful.
